Policies & Practices

Your child’s tutoring and intervention plan is important and the consistency of regular sessions is crucial to his or her success and development. Regular weekly appointments have been reserved for your child in order to maintain his or her progress. The Centre requires that you pay for your child’s weekly sessions in full each month in accordance to his or her scheduled dates.

 

Billing

FULL payment of monthly sessions is required PRIOR to the commencement of scheduled tutoring when billing through The Literacy Centre.

Several payment options are available for your convenience through the Centre:
(Mastercard, Visa, post-dated cheques, e-transfer, or cash). You may choose between two pay schedules:

(1) Monthly in full, due on the 1st day of each month or

(2) Split payment, due on the 1st and 15th of each month.

The billing of assessment and intervention services through Stephen Barker, Ph.D., C. Psych. (covered under most extended health plans) will be invoiced per visit.

 

 

Cancellations
  • Amendments to the schedule (e.g. religious holidays or cancellations) must be rescheduled and made up within 10 business days of the day in question
  • In the event that your child’s tutor must cancel a session, a make up session will be scheduled within 10 business days of the day in question
  • One (1) make-up session per month will be made available to you for a session that has been cancelled with appropriate notice (see below) and must be re-booked within 10 business days. Cancelled sessions outside of the one/month limit will be assessed a $50.00 fee in order to retain your child’s scheduled time slot
  • For morning or early afternoon sessions (those booked between 9:00am and 3:00pm) cancellation must be received no later than 6:00pm the previous evening and can then be rescheduled. Evening sessions, (those booked between 3:00pm and 8:00pm) may be rescheduled if we receive notice by 9:00 am of that day.
  • Sessions that are missed without notice, cancelled with inadequate notice, or that are outside of the one-cancelation limit will not be rescheduled and the regular fee will be charged
  • Cancelled assessment or treatment sessions billed through Stephen Barker, Ph.D., C. Psych. are subject to make-up sessions as per the above guidelines. Missed sessions will be assessed a $50.00 fee through The Literacy Centre and a make up session offered.
  • At least two (2) weeks notice is required for termination or postponement of service.

 

Privacy

The Literacy Centre takes your privacy and that of your child very seriously. We will not distribute any information about you or your child without your expressed, written consent. A “Consent to the Release of Information” form will be used in the event that you wish us to discuss your child’s case with any other professionals.

 

Make-up Sessions

A make-up session is available when The Literacy Centre has received payment for a session that was cancelled with appropriate notice. Please be aware that if a missed session falls outside of the one/month limit, a make-up session will not be scheduled and the cancelled session will be billed accordingly. All make-up sessions must be rescheduled within 10 business days the canceled date.

 

Drop-off & Pick-up

Sessions are scheduled on an hourly basis, with 50 minutes of instruction time and 10 minutes of parental feedback at the end of session as we believe it is important to encourage parental involvement in the remedial process of each child’s program plan. Therefore, we ask that you please arrive 10 minutes prior to the closing of your child’s session.
